Probative-value archiving

MEA implements probative-value document lifecycle requirements (supported electronic archiving standards, roadmap in progress). Each archive is attached to a hierarchical classification plan and a retention period. The system automatically manages statuses: active, semi-active, pending disposal, pending transfer to permanent archives. No document disappears without a traced decision.

Zero-knowledge confidentiality

Encryption is entirely client-side: the browser encrypts the document before transmission. The server only receives the encrypted document, never the content in plaintext. A unique key protects each document, itself sealed for every authorised user: physical access to the database is not sufficient to read content. Beyond encryption, every document can be electronically signed client-side: the signature proves authorship and content integrity without the server ever accessing the plaintext. Admin recovery restores access if a key is lost, without ever transmitting any private key to the server, and SSO-authenticated accounts get a dedicated vault passphrase to reach their encrypted documents.

Integrity & traceability

Each document version gets a unique fingerprint, sealed in a tamper-proof audit log. Validated documents are sealed as PDF/A with a server signature (PAdES) anchored by timestamp, guaranteeing their immutability once archived. MEA supports probative-value timestamping (advanced or qualified) or an internal timestamping server for isolated environments. Every access, modification, download or access attempt is recorded with the user identifier, the exact date and the request correlator. The complete history is exportable for forensic audit purposes.

Regulatory compliance

The compliance dashboard consolidates the status of your archives against data protection requirements (GDPR and equivalent regulations) and sector-specific retention obligations. MEA supports data subject rights: personal data export, erasure on request, minimisation at collection. A full export of an organisation's data is available on demand as an encrypted archive. Legal hold blocks disposal of an archive involved in a judicial or administrative proceeding. Controlled disposal produces timestamped and signed transfer or destruction lists.

Search & retrieval

The built-in OCR extracts text from scanned documents and makes them indexable. Full-text search covers content, metadata and dynamic fields. e-Discovery functions allow rapid identification of relevant documents in response to a legal or regulatory request. Dynamic metadata is configurable per archive type: each document nature can carry its own structured, validated and indexed fields.

Multi-tenant SaaS

Each organisation has strict isolation: partitioned data, systematic filtering on every query, and no cross-organisation access possible. Data residency is configurable per geographic region. Branding (logo, colours) is customisable per organisation. Plan entitlements control user quotas, storage volume and access to advanced features.

Integration & interoperability

The external public API is secured by key and documented for integrations. It allows an ERP or line-of-business application to deposit and retrieve archives without access to the interface. Signed outbound webhooks notify your systems in real time on every key event — archive creation, document upload or validation. SSO delegates authentication to your identity provider (Microsoft Entra ID, Google…) with automatic account provisioning, and Google sign-in streamlines access for your users. Multi-site synchronisation exchanges archives between MEA instances by archive type: received copies are real, browsable archives, your teams add documents on either side, and end-to-end encrypted files never leave their site. The local scanning agent drives your scanners on Windows, macOS or Linux and transfers images directly into MEA.

Operations & resilience

MEA includes a schedulable backup module (database and files) with status tracking and notifications. In SaaS mode, a daily automatic encrypted export of each organisation protects your data, recoverable only by the administrator. Disaster recovery, including point-in-time restore, is documented and testable. Observability relies on structured logs with correlation IDs, exposed health checks and a standardised monitoring stack. The recycle bin protects against accidental deletions: every document is recoverable during the configured retention period before permanent disposal.

Sustainable formats

Legal archiving requires formats that remain stable over the long term. MEA converts documents to PDF/A, the reference format for durable digital preservation. Document versioning retains each revision with its own integrity fingerprint. Technical metadata (resolution, creation date) is preserved and exportable. No content is transformed without traceability of the conversion.
